Forms, reports, Web entries and more. It seems the planning and reporting are constant. But there usually is a reason behind the request. If you question the purpose, ask the person who wants the information or your supervisor. Sometimes new staff need to challenge "the way we've always done it."

Planning

If you don't know where you're going, how will you know when - or if - you've arrived? Program planning is the road that helps you arrive at results.

Reporting

The NDSU Extension Service uses Quarterly Program Reports (QPRs) to report our state program activities to our federal partner.

QPRs provide numbers but don't give you the opportunity to really brag about your good programs through a narrative

The Extension Accomplishment Reporting System (EARS) helps Extension share the impacts of our work.

Expense Reimbursement

This topic will be covered in detail during your on-campus visit. If you need to address an expense prior to your visit, just ask your office staff to assist you.

Travel

Approval must be completed for all out-of-state travel and sometimes for in-state travel. Here are instructions for travel authorizations.

Reimbursement for expenses must be completed on a travel expense voucher. The voucher may be completed on the Web but must be printed out rather than submitted electronically. Here are more instructions on how to fill out the travel voucher. If you have questions, contact Rhonda Holzer, Ag Budget Office, 231-8118.

Grants and Contracts

Grants and contracts to be paid through NDSU must have approval before submission of the application. Contact Ona Vig, Ag Budget Office, 231-8528, for help with the NDSU approval process.

New employees are less likely to need this information during the first months of the job. However, if you are asked to work with a grant you will want to gather more information before making a commitment.

Institutional Review Board (IRB) Training

NDSU offers training regarding the use of the Institutional Review Board. If you are conducting any data collection with human or animal subjects, you are required to obtain approval before you begin. Even surveys that may lead to published results require IRB review. Orientation to IRB policies and procedures can be found at www.ndsu.edu/irb. Check on IRB educational sessions and review the powerpoint or online session.

Supervision

Who's my boss: County chair or district director or county commissioners?  Research Extension Center director or district director? Department chair or program leader? This can vary from county to county or it may be tied to the specific nature of your position. Your district director will explain your specific line of supervision.

General Organizational Training

A number of issues have been identified as important topics for all staff to be trained on for the overall demands and needs of the organization. NDSU provides a variety of online safety training opportunities.

For example, you are working with a 4-H/youth event and an injury occurs involving your potential contact with blood. What should you know to provide proper supervision and protection to yourself? Bloodborne Pathogens Training has the information you need. This program targets everything from lab situations on campus to blood and body fluid exchange topics at any site.
